This Privacy Policy describes how Acube ("we", "us", or "our") collects, uses, and protects information when you use the Acube mobile application for authorized field-force employees.
1. Who this applies to
Acube is intended for employees and contractors authorized by your employer. You must sign in with company credentials. The app is not directed at children under 13.
2. Information we collect
- Account data: name, phone number, email, employee identifier, and authentication credentials managed through our backend provider.
- Employment and HR data: date of birth, gender, addresses, bank details, government identifiers (such as Aadhaar and PAN where applicable), education, work history, and documents you upload during registration.
- Attendance: selfies, short verification videos, check-in/check-out timestamps, and GPS coordinates at the time of attendance.
- Location: precise location when you check in, and periodic background location updates during active work tracking (approximately every 15 minutes when enabled by your employer) for field visit and route visibility.
- Business activity: planned visits (PGP), dealer and counter records, orders, TA/DA expense claims and receipt images, reports, notes, and chat messages.
- Device: basic device information needed for app functionality and security (we do not use third-party advertising analytics in the app).
3. How we use information
- Authenticate you and provide app features
- Verify attendance and work location
- Process travel and allowance claims
- Support sales, dealer, and order workflows
- Enable employer oversight, reporting, and compliance
- Improve security and prevent misuse
4. Legal basis and employer role
Your employer is typically the data controller for employment-related processing. We process data on their instructions to operate the field-force platform. Contact your employer's administrator for questions about how your organization uses your data.
5. Third-party services
We use Supabase for authentication, database storage, and file storage. Data is transmitted over HTTPS. See Supabase Privacy Policy.
6. Permissions
The app may request:
- Camera and microphone — attendance verification and documents
- Location (foreground and background) — attendance and field tracking
- Storage — uploading receipts and registration documents
- Notifications — reminders and work alerts (where enabled)
You can deny permissions in device settings; some features may not work without them.
7. Data retention
We retain data according to your employer's policies and legal requirements. Attendance, location, and business records may be kept for payroll, audit, and operational purposes.
8. Your rights and deletion
To access, correct, or delete your data, contact your employer's administrator or email privacy@acube.com. We will assist your employer in fulfilling valid requests. You can also use our account deletion request page.
9. Security
We use industry-standard measures including encrypted connections, access controls, and row-level security on backend data. No method of transmission or storage is 100% secure.
10. International transfers
Data may be processed on servers chosen by our cloud provider. Your employer is responsible for ensuring lawful transfer where required.
11. Changes
We may update this policy. Material changes will be reflected on this page with an updated date. Continued use after changes constitutes acceptance where permitted by law.
